AgroFlow ("we", "our", or "us") is committed to protecting the privacy of our users. This Privacy Policy explains how we collect, use, store, and share your information when you use the AgroFlow platform ("Service"). By using the Service, you consent to the practices described in this policy.

  • Account details: name, email address, phone number, company name
  • Business data: customer records, orders, inventory, invoices, and delivery information
  • Payment information: billing address and payment method details (processed by third-party providers)
  • Communications: messages sent to our support team

2.2 Information Collected Automatically

  • Device information: browser type, operating system, device identifiers
  • Usage data: pages visited, features used, timestamps, and session duration
  • Location data: GPS coordinates when field agents use location-based features (with consent)
  • Log data: IP addresses, access times, and error logs

We use the information we collect to:

  • Provide, maintain, and improve the Service
  • Process transactions and manage your subscription
  • Enable field agent tracking and route optimization features
  • Send important notifications about your account and the Service

We do not sell your personal data. We may share your information only in the following circumstances:

  • Within your organization: Data is shared among users in your organization as configured by your administrator
  • Service providers: With trusted third parties who help us operate the Service (e.g., hosting, payment processing, email delivery)
  • Legal requirements: When required by law, regulation, or legal process
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with prior notice

6. Location Data

AgroFlow collects GPS location data from field agents to enable visit verification, route tracking, and delivery optimization. Location tracking is only active when a field agent is clocked in and using the Service. Organization administrators can view location data for their team members. Location data is retained according to your organization's data retention settings and can be deleted upon request.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. When you delete your account, we will delete or anonymize your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes. Business data (orders, invoices, inventory records) may be retained for up to 7 years to comply with financial record-keeping requirements.

8. Your Rights

Depending on your jurisdiction, you may have the following rights regarding your personal data:

  • Access: Request a copy of the personal data we hold about you
  • Correction: Request correction of inaccurate or incomplete data
  • Deletion: Request deletion of your personal data
  • Export: Request a machine-readable export of your data
  • Objection: Object to certain processing of your data
  • Restriction: Request that we limit how we use your data

9. Cookies and Tracking

We use cookies and similar technologies for:

We do not use advertising cookies or tracking pixels. You can control cookie settings through your browser preferences.

10. Children's Privacy

The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If we become aware that we have collected data from a child, we will take steps to delete it promptly.

11. International Data Transfers

Your data may be processed and stored in servers located outside your country of residence. We ensure that appropriate safeguards are in place to protect your data in compliance with applicable data protection laws, including the Kenya Data Protection Act, 2019.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through an in-app notification at least 30 days before the changes take effect. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
